Replace a player on a fixed hour
A fixed hour is linked to the player it was created for. There is no “change player”: to put another person on the slot, you delete the fixed hour and create it again in the new player's name. It is quick, but it is done day by day.
If you do not know the page yet, first read Manage the set times.
1. Check the status of the fixed hour before deleting it
Open Bookings › Manage the set times, then the tab of the sport-season concerned. At the top of the page, the Fixed hours overview block shows where each fixed hour of the season stands.
- Not validated or To invoice: you can delete and recreate with no consequence.
- Invoiced, unpaid: deleting removes the line from the open invoice, and cancels the invoice if it becomes empty. Only do this knowingly.
- Partly paid, Paid, Free / invoice cancelled or To check: settle the invoice first. These hours are never deleted automatically.
2. Go to the right day of the week
The fixed hours grid always shows the day of the current schedule. To work on Monday, set the schedule date to a Monday, then go back to Manage the set times. Then repeat for each day concerned.
3. Delete the former player's fixed hour
Click the fixed hour's cell in the grid, then Delete this fixed hour. To handle several at once, open the list from the overview, tick the lines and use Delete selection.
4. Recreate the fixed hour in the new player's name
Click the cell that is free again and type the new player's name in the search field. On the form, set the same settings as before: number of people, other players if any, invoicing item and price type.
Check the amount shown under the list of players before validating: the price is recalculated according to the new player's subscription and the chosen price type. It may differ from the former player's price.
5. Validate and invoice
When all days are done, use Confirm times and invoice with the usual settings: start and end dates of the season, special days, group colour, item and price type. Only hours still “not validated” are invoiced; the others are left untouched.
If a session was released and then taken by someone else, see Refund a fixed-hour session that was released and taken again.
